The Pondmere Estate (“the Estate”, “we”, “us”) is a private pondside events venue in Hamilton, Ontario, Canada. This Privacy Policy explains what personal information we collect through our website, how we use it, and the choices you have. It applies to information collected at thepondmereestate.com.
We only collect the information you choose to give us when you take an action on our site — we do not buy, rent, or import contact lists from third parties.
Booking details: your name, email address, phone number, party size, chosen dome, date, time, menu selections, and any dietary notes you provide when you request a booking.
Inquiries: the name, email, phone number, message, and preferred date you submit through our contact and experience inquiry forms.
Registrations: the name, email, phone number, and ticket quantity you provide when registering for an event or workshop.
Pre-registration: the email address you submit for founding-guest / early-access pre-registration.
Payment information: when you pay a deposit, your card details are collected and processed directly by our payment processor (Square). We never see or store your full card number.
We use the information you provide to fulfil and manage your booking, registration, or inquiry; to send you transactional emails such as booking confirmations, deposit and payment receipts, and inquiry acknowledgments; to respond to your questions; and to keep our own team informed of new bookings and inquiries.
We do not use your information for unrelated marketing, and we do not sell or rent it to anyone.
The emails we send are transactional — they confirm or follow up on a specific request you made (a booking, payment, registration, inquiry, or pre-registration). If you would prefer not to receive further email from us, or want us to remove your details, simply reply to any of our emails or contact us at experiences@thepondmereestate.com and we will action your request.
We share information only with the trusted service providers that help us operate, and only to the extent needed to provide their service: Square (payment processing), our email delivery provider (to send the transactional emails described above), and our website hosting and database provider. These providers process data on our behalf under their own privacy and security commitments.
We keep booking, registration, and inquiry records for as long as needed to provide our services, maintain accurate business and financial records, and comply with applicable law. You may ask us to delete your information at any time (see “Your rights” below), subject to records we are required to retain.
You may ask us to access, correct, or delete the personal information we hold about you, or to stop contacting you. To make a request, email us at experiences@thepondmereestate.com. We will respond within a reasonable time.
Our website uses only the cookies necessary for the site to function. We do not use advertising or cross-site tracking cookies.
Our site and services are intended for adults making bookings. We do not knowingly collect personal information from children under 13.
